Payment Terms

For all booking we will require a deposit to be paid in order to reserve the vehicle, once a deposit has been paid the vehicle will be reserved for you. Thereafter the full balance needs to be paid at least 3 days prior to the day of travel.

If it is not then we can not guarantee availability for the day of Hire.

Refunds and Cancellations

If you want to cancel a booking for any reason at least 7 days prior to the day of travel then we will issue a refund for any payments that have been made, if however it is less than 7 days then we will refund 50% of any payments received.

In addition

You will be responsible for payment of any cancellation fees or charges levied by third parties (such as venue or accommodation providers) in line with their cancellation policy that may be relevant to your booking or travel;

  • Any charges for credit or debit card processing, bank transfers, international currency exchange or other processing fees incurred by us are non-refundable, and we further reserve the right to deduct any such fees or expenses incurred by us in the processing of the refund to you.
  • Any cash payments are to be paid in FULL upon arrival of the driver, you cannot make part payments; the full amount of cash has to be paid in full on arrival of the driver. All drivers are well within their rights to refuse to move a vehicle without the full cash payment.
  • All customers are advised that only the journey that is booked and agreed on the confirmation email or invoice, any changes on the day of travel ie, any extra drops offs, pick ups or any other changes during the journey will be charged accordingly by the driver or the Swift Minibus Hire Ltd booking office at the time of the journey.

All bookings are made subject to the Swift Minibus Hire Ltd terms. It is your responsibility to ensure that you have read, understood and agree prior to booking.

Delays to Service

No responsibility or liability whatsoever can be accepted by Swift Minibus Hire Ltd for traffic congestion, road accidents, adverse weather conditions or other matters outside its reasonable control which may cause delay. Both parties expressly recognise in transport such as minibus Hire that vehicles can be late as a normal cause of business without negligence on behalf of the company (typically due to previous customer delays, traffic, road traffic accidents and mechanical problems).

If any driver is delayed by more than 60 minutes with one of our vehicles getting to the passengers and we are unable to replace a delayed vehicle within 1 hour and 30 minutes and the client chooses to make their own alternative travel arrangements they may be entitled to a refund of the deposit paid to Swift Minibus Hire Ltd.

If for any reason the driver has to re-route the journey due to traffic, adverse weather conditions or any unforeseen reasons and cannot get the passengers to their destination on time, neither the driver or Swift Minibus Hire Ltd will be held liable for any loss incurred for e.g. missed flights, paying extra for alternative transport, missed events or lateness to meetings etc.

Also if the vehicle allocated to the journey has a mechanical issue prior to the journey or on the journey and Transport Hub UK cannot find an alternative vehicle, Swift Minibus Hire Ltd will not be held liable for any loss incurred and will not pay out any compensation under any circumstance; at management’s discretion they may allow the deposit to be refunded.

  • In addition to any cancellation fee charged by us, you will also be responsible for payment of any cancellation fees or charges levied by third parties (such as venue or accommodation providers) in line with their cancellation policy that may be relevant to your booking or travel;

Damages / Spillage

Any damage/spillage caused by the passengers will be charged accordingly by the driver at a minimum rate of £25 this also includes soft drinks, water, wine, spirits or any form of liquid. Any fines for misuse, damage or spillages have to be paid in cash to the driver.

Alcohol/Smoking/Use of drugs

It is illegal to consume alcohol en-route to a sporting event.

Drinking is not permitted unless it has been agreed prior to booking; also it MAY be allowed at drivers discretion but only if the driver has agreed for the passengers to do so. The customer (hirer) should not assume alcohol consumption on board the vehicle is permissible.

All Swift Minibus Hire Ltd vehicles are strictly non-smoking by law, this includes the use of E-cigarettes or alike.

Any use of drugs is strictly prohibited on all vehicles.

Non-compliance with our alcohol/smoking/use of drugs terms and conditions may result in termination of the journey (remainder of the booked journeys) with the full balance for all trip/s still liable to be paid by the customer.

Extra drop offs / re-route / extra hours

Any extra drop offs which are not included on the initial booking will be charged at a minimum of £10-25 per drop at the drivers discretion, any amount charged will have to be paid in cash to the driver. If for any reason the customer requires extra stay by the driver, if the driver can accommodate their requirements, they have to pay £50 per hour minimum charge and an hourly rate of £50 thereafter.

Airport transfers.

During airport pick ups we sometimes face delays in immigration or just flights arriving later than expected.
Although we monitor the flights and only send out drivers out once the flight has landed they still end up waiting hours in the car parks, ending up with big parking charges.

At Swift Minibus Hire Ltd we recognise that sometimes things happen that are out of the clients hands so for this reason, we only leave the depot once the flight has landed and then request the clients to contact the driver to give him an idea of how long they expect to be in the immigration que.

We give our clients a 45 mins grace period for them to clear immigration, reclaim their luggage and then make their way to the driver.

If for any reason the wait time exceeds the 45 minutes grace period then a charge of £60 per hour will apply as well as the increase in parking charges.
